How to manage your mailbox from OS

How to sync your email and calendar to OS

Your Synup OS Mailbox allows you to view, reply to, and manage all your connected email conversations without switching tabs or apps. Here’s a step-by-step guide to using it effectively.

1. Accessing Your Mailbox

  1. Log in to your Synup OS account.

  2. From the left-hand navigation panel, click on Activities > Mailbox.

  3. If you haven’t already connected your email, Synup will prompt you to do so. Follow the instructions in our How to Sync Your Email and Calendar article.

2. Understanding the Mailbox Interface

The Mailbox dashboard is divided into three sections:

  • Folder Pane (Left): Displays your Inbox, Sent, Drafts, Archived, or Outboxed emails

  • Email List (Center): Shows your email threads sorted by date (most recent first).

3. Viewing Emails

  1. Click on any email in the Email List to open it in the Email View panel.

  2. Scroll through the thread to view all messages exchanged.

  3. Attachments can be downloaded directly from the message.

  4. You can also add the email sender as a new lead to Synup OS.

4. Replying and Forwarding Emails

  • Reply: Click the Reply icon at the top or bottom of the email thread, type your message, and click Send.

  • Reply All: Choose this if you want all recipients in the thread to receive your response.

  • Forward: Click the Forward icon, enter the recipient’s address, add any additional comments, and send.

Tip: Synup OS supports rich text formatting, so you can bold, italicize, or hyperlink text before sending.

5. Composing a New Email

  1. From the main mailbox view, Click the New Email button.



  1. Enter the recipient’s email address, subject line, and your message.

  2. Add attachments by clicking the paperclip icon. You can also use our AI writer JoyAssist to help you compose a professional email.

  3. Lastly, if you want to track the opens for the email, turn on email tracking on bottom right.

  4. Click Send when ready.



6. Searching Your Mailbox

  • Use the Search Bar at the top to find specific emails by keyword, sender, or subject line.

  • Filters allow you to narrow results by date, folder, or tags.

7. Organizing Your Emails

  • Move to Folder: Select an email, click any folder like Shared or Private, and choose the destination folder.

  • Mark as Read/Unread: Helps you track pending messages.

  • Delete Emails: Moves the selected email to Trash.



8. Sync and Refresh

  • Synup OS automatically syncs your mailbox at regular intervals.

  • You can click the Refresh icon at the top right of the folder pane to instantly fetch new messages.

Best Practices for Mailbox Management

  • Keep your Inbox clean by archiving or deleting unnecessary emails.

  • Use folders and tags for quick retrieval.

  • Respond to high-priority messages first to improve client communication.
