Email Setup Guide
This guide explains how to configure the sender name, sender email address, and DKIM key for emails sent from Synup OS to your agency’s customers. Setting these up ensures your emails look professional, match your agency branding, and are more likely to reach your customers’ inboxes securely.
What will this email be used for?
We will send important notifications and alerts related to your OS account and activities to this email. This includes:
Weekly summary of the sales activities and results
Notifications when a document is accepted or declined by clients
Notifications when an invoice is paid
Reminders related to calendar activities
Reminders when your emails are sent or opened
Reports or downloads from marketing apps (listings/social/reputation or others)
Basically, we will communicate any important happenings with your OS account using this email.
1. Accessing Email Settings
Steps: 1. Log in to your Synup OS agency account. 2. Go to Settings → Email Settings. 3. Locate the section for Sender Information and DKIM Configuration.
2. Setting Up Your DKIM Key
A DKIM (DomainKeys Identified Mail) key is a security protocol that helps email providers verify that your messages are authentic and haven’t been tampered with. This improves deliverability and reduces the chance of your emails being marked as spam.
Steps 1. On email settings page, click on “Configure email setup” to do the DKIM Configuration.
Step 2. Enter your domain and click “Request DKIM Key”. Copy the DKIM key details provided (Host name and Value).
Step 3. Log in to your domain’s DNS provider (e.g., GoDaddy, Namecheap, Cloudflare).
Step 4. Create a new TXT record. For Host, enter the host name as instructed in Synup (e.g., selector1._domainkey.agency.com). For Value, paste the DKIM Value provided in Synup OS.
Step 5. Save the record in your DNS provider.
Step 6. Return to Synup OS and click Verify DKIM to confirm the setup. It takes us about 30 minutes to confirm your DKIM validation.
3. Setting the Sender Name
The sender name is the display name customers see in their inbox when they receive an email from you. In the Sender Name field, enter your agency name or a specific team name (e.g., “ABC Marketing” or “ABC Marketing Support”). 2. Keep it short, clear, and recognizable to your customers. 3. Click Save to confirm changes.
4. Setting the Sender Email Address
The sender email address is the “From” address customers see in their inbox. In the Sender Email field, enter an email address from your agency’s domain (e.g., support@agency_domain.com). Ensure the email address is monitored regularly for replies.
Don’t forget to save all the changes to verify your setup.
6. Troubleshooting Tips
DNS changes can take up to 24 hours to propagate. If DKIM verification fails, confirm you have copied the host and DKIM value exactly as provided. Only one valid DKIM key should exist for the selected domain at a time.
